Firelight Academy Program Policies

Our goal at Firelight Academy is to create a welcoming, reliable, and positive experience for every adventurer. These policies help us keep our groups small, consistent, and running smoothly.

Registration & Payment

Registration is confirmed once we have received both your completed registration and payment. Because our adventures are designed for small groups with limited space, registering reserves a spot specifically for your child.

Cancellations & Refunds

We understand that plans sometimes change. If you need to cancel your registration before the first scheduled session, please contact us as soon as possible. We may be able to provide a full or partial refund, depending on the timing of the cancellation and whether we are able to fill your child's spot.

Once the program has begun, registration fees are non-refundable. This includes withdrawals during the program and sessions missed due to illness, vacations, scheduling conflicts, or other personal circumstances. Because our groups are intentionally small, it can be difficult to fill a space after an adventure has already begun. Your registration allows us to reserve that seat and plan the season around a consistent group of adventurers.

Missed Sessions

Unfortunately, we cannot provide refunds, credits, or make-up sessions when a participant misses a scheduled session.

Firelight Cancellations

Occasionally, Firelight Academy may need to cancel a session because of Game Master illness, severe weather, technical issues, or another unexpected circumstance. Whenever possible, we will reschedule the session. If Firelight cancels a session and we are unable to reschedule it, families will receive a prorated refund or credit for that session.

Group Experience & Behavior

Roleplaying games work best when everyone at the table feels welcome and has the opportunity to participate. We expect adventurers to treat their fellow players and Game Master with kindness and respect. This means allowing others a chance to speak and make decisions, respecting personal boundaries, and avoiding behavior that repeatedly prevents the group from playing or makes another participant feel unwelcome.

Our Game Masters will work with players and families when challenges arise. If ongoing behavior significantly disrupts the experience or safety of the group despite our efforts to address it, Firelight Academy may determine that the program is not the right fit for a participant.

A Welcoming Table

Firelight Academy is committed to creating a place where kids can be imaginative, take creative risks, make friends, and feel like they belong. Every adventurer brings something different to the table. We welcome different personalities, backgrounds, play styles, experience levels, and ways of thinking and communicating. No previous roleplaying experience is necessary unless specifically noted for a program.

Life is complicated, and no policy can anticipate every situation. If something unexpected happens that affects your child's participation, please reach out. While we can't promise an exception to these policies, we're always happy to have a conversation.
